Job Description Scope and Purpose To assist in the responsibility, under the supervision of the broker, for all phases of the operation of property, including, but not limited to, greeting customers and clients, answering the telephone, monitoring the reception area. General administration to direct and control all resources to the end that the properties are maintained at all times in good physical condition with a stabilized fiscal operation. This position is not a licensed position and as such cannot negotiate or sign leases. This job description includes but is not limited to the following: Duties and Responsibilities Front Desk Greet Persons entering office

Direct Persons to correct destination

General administrative and clerical support

Receive and sort mail and deliveries

Maintain calendar for lease signings

Accepting and Receipting of Rental Payments

Keep a list of the supplies that are needed for ordering noting key standard supplies

Keep front area and lease signing rooms tidy and stocked

Mail Open mail and date stamp received

Determine if invoice is for property and stamp with charge stamp

Once Broker determines billing, scan into Dropbox/Vendor Scan folder; file in appropriate file until paid

Send violation notices as necessary by request of staff

Advertising Ensure all info in Appfolio is correct for website postings.

Update list every Friday with updated info as provided by Broker

Hand out list

Ensure info on website is same as list

Walk-In Renters/Internet Renters/Phone Inquiries Assist Walk-ins with Rental List

Set-up Applications, Keys and Showings of properties

Standard reply on Website leads

Applications Set up appointment for lease signing

Ensure lockbox and sign are removed from property

Leasing Once lease is complete fax appropriate utility companies

Ensure receipt of Tenant rental insurance as necessary

Scan lease into Tenant File in Dropbox

Email copy of lease to Tenant

File Tenant folder

Vacancy Notices Pull tenant file and document in Appfolio/Trello

Send Owner email or post card of notice to vacate from tenant

Ensure advertising is started

File in the appropriate folder until the tenant vacates.

Upon tenant vacating, note date keys received and notify appropriate parties for inspections, etc.

Filing File all items as noted to appropriate file

Combine deposit receipts with Appfolio deposit forms and file in appropriate note book

Property Inspections Assist mailings and emails notifying tenants of inspections

Schedule necessary work orders as needed by inspection

Miscellaneous Duties Whenever you have free time you can do miscellaneous jobs for office staff. This can include filing, typing letters and research, creating spreadsheets or whatever else needed. If is also your job to update and maintain different forms/folders as needed.

Make sure the office is clean prior to the next work day.

Qualifications Excellent verbal and written communication skills

Customer service oriented

Pleasing personality and ability to work with and understand the problems and attitudes of residents.

Ability to work with persons of all ethnic backgrounds.

Interest, enthusiasm, good sense of humor, good health, and stamina.

Common sense and judgment in day-to-day matters.


Ability to solve resident, personnel, and financial problems.

Neat, clean, and appropriate professional appearance.

Constant organizing and planning with attention to detail

Neat and legible handwriting and ability to keep accurate records.
